In order to organize a quality event in a public space, you need a good, carefully configured sound system to ensure your success. In this article we offer you some competent tips to help you organize the event.
A good sound system depends on several aspects, starting with the equipment you have, the space where the event takes place, the type of organization, etc. and below we offer you some secrets that will lead you to achieve this goal.
Choosing quality equipment
First of all, you must rely on quality equipment that ensures the reproduction of a clear sound and at a volume appropriate to the event you have to organize. So:
Speakers are visible components that must be configured as number and power depending on the space chosen. They can be active – with built-in amplifier, they are easier to configure, but they need a nearby power source; and passive – that works with an external amplifier.
In order to fill the space as efficiently as possible, it is recommended to have as many speakers as possible, to be placed in various places, either on the ceiling or on the wall.
The amplifiers are calibrated with the power of the speakers if they go on passive models, and have the role of capturing the audio signal from the mixer and amplifying it to a high power signal suitable for speakers.
The audio mixers represent the control center of the audio system and must be as easy as possible to connect to the different sources that it has in its configuration. Thus, if you want to go for the best audio mixers , choose models with at least 6 – 8 transmission channels, so that you can easily receive all the component sources.
The equalization bands are very important, being useful at least 3: high, medium and low, to obtain a balanced sound. More modern models have built-in amplifiers and USB connections that can be used with a laptop and have many digital effects.
Microphones are very useful for making voices heard, whether it's a presentation or a live concert. You can go on wired models – they offer a little freedom of movement, but they do not interfere and they are stronger; wireless – wireless, which gives freedom of movement but can interfere much more easily. For actors or presenters you can also use lavaliers.
Image – a complete system can also provide video support, useful in certain presentations and concerts, consisting of screen and video projector.
In order not to be surprised, even if you receive the dimensions of the space in advance, the most useful is a site visit before the event. Thus you can check the acoustics of the location yourself (sandstone, faience, windows or other slippery surfaces negatively influence the sound quality); what you meet in space (pillars, mirrors, curtains); its shape (a square room being more difficult to optimize); where you have a power source to which you can connect, etc.
Preparation of equipment and accessories
After setting the date and seeing the location, you already have the optimal configuration for the event, it's time to check if all the component equipment is in good working order, to check that the batteries are charged, etc. In addition to the equipment, don't forget the accessories you need, the cables to be in good condition and in the desired number; extension cords; speaker stands, laptop, etc .; spare plugs.
The most convenient is to have a special box for accessories and to check it before the event. Don't forget the mounting kit to be complete and functional so that you can easily handle it and fit in time.
Make sure you have transportation
Depending on the car in which you will transport your audio system, you will also organize them, in boxes of different sizes that can easily fit in the space available in the car. Be sure to secure the equipment with soffits or clamping systems, so as not to be damaged during transport.
Placement of equipment in space
If you managed to view the personal space before the event, it will be very easy for you to position them according to the initial project. Check together with the organizer or the client the development of the event, in order to be able to establish the points of interest and the best location for the equipment.
Testing the electrical network
In order not to have unpleasant surprises during the event, initially check the sockets with the help of a measuring device or with the person in charge of the location. It is useful to have a current stabilizer or a UPS at hand to protect the equipment from unwanted fluctuations.
After you have done the previous steps and made sure that everything is in good order, that the position you set for the equipment does not bother the smooth running of the event, you can move on to wiring the equipment and putting it into operation.
When setting the time to show up at the location, to have enough time with the actual installation of the equipment, do not forget to take into account a sufficient period to test the operating parameters, both for sound equipment (audio source, speakers , the mixer, the microphones) as well as the video one if applicable. Also now you make the necessary settings depending on the type of event, don't forget the sound samples for soloists and instruments if you have a concert, etc.
You must keep in mind that the sound will be different and certain adjustments will be needed during the event, the acoustics being different in an empty room, as it is before the start, and a full room, after the entrance of the public or participants.
Taking into account these small aspects, with quality equipment, patience and professionalism, the success of any event you will have to organize will be guaranteed and you will increase your client portfolio by recommendation and by the reputation you will gain.
